What Windsor Cycle Hub is:

WINDSOR CYCLE HUB (WCH) is a charity, entered onto the Register of Charities on 1st July 2021, with Registered Charity Number 1195024.

WCH was established for charitable purposes only for the public benefit.

Charitable objects:

“The promotion of community participation in healthy recreation in Windsor, by the provision of services to encourage cycling.”

Object:

The object of the Charitable Incorporated Organisation is to promote cycling for all throughout the Windsor community: through activities to encourage residents, and visitors, into or back to cycling. Including recycling affordable bicycles, teaching mechanical skills, sharing knowledge/resource, running events and providing guided rides. Also, liaising with our local authority, and landowners, to protect existing cycle routes and to encourage the provision of more. In doing so it will make Windsor a better and more sustainable place to live.

UK GDPR:

WCH is bound by the legislation set out in the Data Protection Act 2018. The Information Commissioner’s Office has full details of Article 5, which sets out the requirements for organisations holding data.

The data on these forms is recorded in Airtable. WCH will keep this data for no longer than one calendar year to analyse the services it provides to its community except, if you have opted-in to receive future communications from WCH or its funding partners or to consent to use of your image in photography, we will retain your name and email address for these purposes. Your data, when used for analytical purposes, will be anonymised. WCH will remove your data at any point, should you request it by email to info@windsorcyclehub.org

The Emergency Contacts data will be deleted monthly.

How long we retain your data:

In order to log/survey the services we provide, data from bookings made for WCH Bike Kitchen, Guided Rides, Bike Marking or Dr Bike events will be kept for a maximum of one calendar year. This helps WCH gain funding (by showing some proof of work) as well as tailor services for the local community.  Emergency contact data will be deleted within one month of the ride it was provided for.

If you have opted-in to receive updates from WCH, your name and email address will be retained until you unsubscribe or request removal from the mailing list.

What rights you have over your data:

If you give us data through any forms, surveys or bookings, you can request to receive a copy of the personal data we hold about you. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data:

If you agreed to be surveyed by our funding partner Cycling UK, then WCH will share your contact details with them. Their data policy is set out here. All other data for survey purposes, with our other funding partners, is anonymised – so no personal data is shared.

In case of a serious incident on a guided ride, we will share your Emergency Contact’s details with the Emergency Services/NHS.

If registering a cycle with the national Bike Register, the data on your form will be passed to the scheme’s owners Selectamark Security Systems plc for them to maintain records which will be shared with the Police. Bike Register have their own Privacy Policy.

Photography:

WCH take photos at every ride, repair session and/or event it participates in. WCH uses these images on its website and social media channels. The images are also shared with our funding partners – to help promote cycling in Windsor. WCH’s sign-up form for rides, repairs and bike registration has an opt-in box for you to provide consent to appear in these photos which will be retained until you withdraw permission. All WCH volunteers are instructed to ask, before taking a photo, that everyone is happy to be in it. If you wish to withdraw permission to use your image, please email: info@windsorcyclehub.org, including a link to, or screenshot of, the photo(s) you wish to be removed.
